Kroll Ontrack® Ireland has produced a set of ‘rapid response’ guidelines to help companies react quickly in the event of a data disaster, while avoiding the most common pitfalls.

Many companies hope they never have to call on data recovery specialists and as a result, few have plans in place to cope when disaster strikes. When the unthinkable happens, many IT directors are forced to make snap decisions and are pushed into contracts.

Over the past year, Kroll Ontrack has received many drives that other companies have been seemingly been unable to repair. But when Ontrack Data Recovery engineers examined the drives, it was clear that either no attempt had been made to recover the lost data, or further damage had been caused through careless handling by the unsuccessful provider.

The ‘rapid response’ guidelines are designed to help IT directors make informed decisions quickly and ensure that they don’t fall victim to investing in a solution prior to fully vetting it.

PRICING – ask the right questions

Does the company provide clear pricing estimates for the cost of the recovery? Are there any hidden or extra fees if your hard drive is particularly difficult to recover from? Is there is a separate charge if parts are required?

DIAGNOSIS – find out what data is recoverable before you commit

Does the company provide a full diagnostic report of the condition of recoverable files before you have to commit to paying for the full recovery fee?

CUSTOMER SERVICE – make sure you are kept informed

Is the company responsive to your needs? Do they promptly reply to all calls or email requests for information? Is there a clear expectation of how long the recovery will take?

SECURITY – Can you trust the provider?

Does the provider have the authority to open hard drives containing sensitive data? Will they return data in an encrypted format to ensure secure delivery?

TECHNICAL AUTHORITY – Make sure the provider is accredited

Is the provider authorised by leading manufacturers to open the seal on a hard drive without invalidating the manufacturer’s warranty? Has it been certified as a solution partner or developer by leading manufacturers?
